Data cleansing schedule Michaelmas term 2018

A snapshot of the student record data forms part of the University's funding return to the Office for Students (OfS). The same dataset informs the collegiate University's resource allocation models, including the Conference of Colleges' Collegiate Funding Formula. The snapshot also underpins the University’s Student Statistics and Annual Programme Statistics reporting.  To help capture an accurate record for the 2018 data snapshot the teams work to the schedule provided below:

1 September 2018 - Friday of Week 1 (12 October 2018) Student registration window open. Contact Student Information with queries.
Week 2 (15 - 19 October 2018) College completion of new student registrations and chasing of outstanding continuing student registrations.  
Week 3 (22 - 26 October 2018) Data cleansing of undergraduate, taught graduate and research graduate student data. Contact the Academic Records Office with queries related to undergraduate student data cleansing. Contact the Data Quality team for queries regarding taught and research graduate student data cleansing.
Week 4 (29 October - 2 November 2018) Colleges to check eVision through 'All Students' dataview, ‘Individual Students’ dataview or the ‘View Student’ screen. The ‘View Student’ is available on the Student Records tab and an individual student search (which is the view student screen by another name) is on the dataviews tab. Fee status issues should be sent to the Student Fees team by 31 October 2018. Other record issues should be sent to the appropriate contact by 2 November 2018. Contact student.fees@admin.ox.ac.uk with fee status issues. Contact the Academic Records Office with queries related to undergraduate student records. Contact the Data Quality team with queries related to graduate student records.
Week 5 (5 - 9 November 2018) Colleges to check the Fee Schedule for any tuition fee issues and request amendments through eVision. Contact student.fees@admin.ox.ac.uk with tuition fee queries.
Week 6 (12 - 16 November 2018) Colleges to check eVision through 'All Students' dataview, ‘Individual Students’ dataview or the ‘View Student’ screen, to confirm that previously requested amendments have been made. Contact the Academic Records Office with undergraduate queries or the Data Quality team for queries related to graduate students.
Week 7 (19 - 23 November 2018)  Academic Records Office make final refinements to student records. Contact the Academic Records Office with queries.
Week 8 (26 November - 30 November 2018) The '1 December snapshot' is taken during the night of 30 November 2018.
