Examination administration processes

Administration of applications for alternative examination arrangements

Students requiring adjustments due to a disability are encouraged to speak to their College Office, the Oxford University Student Union (OUSU) Student Advice Service, and/or the Disability Advisory Service about the range of arrangements potentially available to help them in their studies and their examinations. Further information is available on the Alternative arrangements page of the Oxford Students website.

Students are advised to apply for alternative arrangements for their examinations as early as possible and not later than Week 4 of the term before their examinationsare due to take place, through their College Office or via the Disability Advisory Services (DAS).

We strongly encourage colleges to liaise with us to discuss exam adjustment options in advance of making a formal application. In some cases we may be able to offer solutions that will mitigate the need for a college sitting altogether. We are also happy to meet with students, by appointment, to discuss any worries they may have about sitting their exams in the Examination Schools.

Applications should be submitted by the College Officer to the Examinations and Assessments team, together with the relevant supporting material, via the SharePoint site:

https://sharepoint.nexus.ox.ac.uk/sites/AAD/EAP/SitePages/Home.aspx

Confirmation of examination arrangements that have been granted will be sent to the College Officer and to the Chair of Examiners for the student’s course. Students can also find details of the alternative arrangements that have been granted on their individual examination timetable.

If you have any questions or experience problems accessing the SharePoint site please email eap@admin.ox.ac.uk

Administration of applications for factors affecting performance

Students are advised to discuss their circumstances with their college and consult the Examination Regulations for further information.

Applications for consideration of factors affecting examination performance should be submitted by the College Officer to the Examinations and Assessments team, together with the relevant supporting material, via the SharePoint site:

https://sharepoint.nexus.ox.ac.uk/sites/AAD/EAP/SitePages/Home.aspx

Information supplied before the examination board has met will be passed to the Chair of Examiners to be taken into consideration, and a confirmation email will be sent to the student and their College Officer.

If you have any questions or experience problems accessing the SharePoint site please email eap@admin.ox.ac.uk

Notification of late submission of written work

If submitted work is received after the designated deadline the Proctors will be informed and the student and relevant College Officer will receive an email notification of the late submission. The student will be required to pay an administration fee of £40. If the submission is not received on the day of the deadline, the student may also not be allowed to remain in the examination. Students should consult their College Office or Senior Tutor as a matter of urgency if they suspect they will be late in handing work.
