Governance & representatives
Coordination and leadership of student systems strategic development is provided by the Student Systems Programme Board, chaired by Michael Sibly, Deputy Registrar. Regular operational review is provided by the Student Systems Management Group, chaired by Keith Zimmerman, Director of Student Administration & Services, and Programme Sponsor. Under this framework, the development and daily operation of the Student Systems Programme is provided by staff in the Academic Administration Division, working in close partnership with Business Services & Projects and Computing Services, and colleagues in divisions, departments, faculties and colleges. The following table outlines the governance structure of the Student Systems Programme.

Governance Structure

Workstreams
In order to ensure that requirements for the new system are addressed appropriately, the development and delivery of each area of the new system is divided into distinct parts (termed ‘workstreams’). Each workstream, chaired by a senior member of academic or administrative staff, consists of members who have been nominated through consultation to ensure a strong and focused team that is representative of colleges, halls, departments, faculties, divisions, central services and students. Student Systems Management Group (SSMG)
Regular strategic and operational review of the programme is provided through monthly meetings of the Student Systems Management Group (SSMG), chaired by the Director of Student Administration and Services and Programme Sponsor.
The SSMG will challenge the individual business cases, project progress and financial status of the programme, ensuring that developments are being undertaken according to agreed timescales and budgets. It will provide strategic direction to the programme and ensure consultation and communication with all appropriate stakeholders. The membership is as follows:

Student Systems Programme Board (SSPB)
At a strategic level, the Student Systems Programme Board (SSPB) provides high-level accountability and oversight of the programme and defines strategy for Student Systems development.
The board receives reports on major issues and risks, on progress of the programme, and on financial status. It also approves all major investments/business cases. It is chaired by the Deputy Registrar, Michael Sibley, and has representation from across the collegiate University to ensure appropriate consultation and communication. The membership is as follows:

Student Systems Product Evaluation Group
The Product Evaluation Group's work is now complete. The group was formed to carry out the supplier and product evaluation phase of this programme and to ensure that these activities were understood and supported across the collegiate University.
This group contributed to the recommendations made to Council for the final short-listed supplier and system: Tribal Group's SITS:Vision.

Student Advisory Group (SAG)
The Student Advisory Group has been formed to help ensure students are consulted and communicated with as the work of the Student Systems Programme develops. The group has no formal Governance capacity.
Members of the Group will be asked to offer feedback on the requirements and proposed functionality of Oxford’s student systems. The Group will also act as a forum for discussion, garnering an understanding of student expectations, student views, and student use of emerging technologies - such as social media and file sharing sites.
