Releasing Space

Where a department wishes to release space allocated to it, the department should ensure its divisional office is aware of this. The divisional office may reallocate space to other departments within its division (up to the limits indicated in the Estates Regulations) after notifying Estates Services and receiving confirmation that this is acceptable.

A space release request must be logged with the Information Management Team (IMT). An online request is available at the link below. Once the request is received the IMT will prepare the necessary papers for Buldings and Estates Subcommitte (BESC) approval. The IMT will notify departments of the release's approval.

The Estates Regulations set out the conditions for the release of space back to the University or to another department. If the request to release is approved then the formal handing back of space will be subject to a formal handover process. The department should contact IMT to arrange to return the space.
