Lisa Hofen

Lisa has around 20 years’ experience in managing services within the workplace and is a Non-Executive Director of the British Institute of Facilities Management (BIFM), and a member of the Royal Institution of Chartered Surveyors (MRICS). She is responsible for setting the team’s evolving strategy. The overall aim of FM is to deliver a service that our customers are proud to partner with, and our team is proud to work for.

The team’s services include: FM Operations, Central FM Services (University Print Studio, FM Helpdesk, Mail Services, University Card Office, Reception Services, and administering the Salto access control system); Oxford University Event Venues and Strategic FM Contracts. To deliver the strategy across theses different areas, Lisa works with Estates Services colleagues to improve the operational environment of our customers’ buildings, including their condition, suitability and sustainability, seeking to develop and adopt best practice in all that we do. The FM service emphasises value for money; risk and compliance; quality and our people. 

Lisa speaks regularly at national industry events and runs a regional FM networking group, the Oxford and County FM Forum, which brings together FM peers across industry sectors including the NHS, publishing and motorsports. She also leads a termly FM forum designed to create a friendly environment to share best practice, understand policy changes and network with FM professionals across the University of Oxford.

John is responsible for the management of all services and processes within the FM team. He makes sure staff based across the city have the right working environment and customers are satisfied with what we do. Operationally, he line manages our team of Senior Facilities Managers, ensuring they deliver our service level agreements, reduce operating costs and maintain high levels of health and safety compliance. John works alongside Lisa to manage our Apprentice scheme.

Aileen Peverell

Aileen manages services on the Radcliffe Observatory site (ROQ) and also the nearby Language Centre and Ioannou Centre for Classical and Byzantine Studies.

Buildings on the ROQ include Blavatnik School of Government, Andrew Wiles, Radcliffe Humanities, St Luke’s Chapel and the Gibson building.

Her site team provides an extensive range of services including waste collections, cleaning, catering and compliance. She deals with all aspects of the opening of new buildings and ensures a smooth transition for customers. She is a member of the British Institute of Facilities Management.

Sarah manages our group of Central Services. These include the FM Helpdesk, University Mail Service, University Print Studio, University Card Office, Reception Services, Vulnerable Buildings management and Central Records. Sarah works on many of our IT projects within FM and leads in areas such as access control (Salto, NET2) and Planon development. Sarah is a member of the British Institute of Facilities Management, the Chartered Management Institute and is a PRINCE2 Practitioner. Sarah also works with the OLI as a mentor on their Careers Support Network.

Kay promotes our venue services, generating income for customers by hiring out their buildings, outside the times they are needed for academic purposes, for conferences and events. Services are marketed under the umbrella brand 'Oxford University Event Venues'. There are currently five venues in the group —The Examination Schools, The Sheldonian Theatre, Osler House, St Luke's Chapel and the University Club. Kay coordinates our Customer Service Excellence (CSE) activities and helps to keep the CSE message front of mind across the team. She also assists with communication and marketing activities across the team.

Paul is responsible for delivering FM services across three customer sites — the Examination Schools, the Sheldonian Theatre, The Old Boys School and Osler House. His role involves managing the day-to day delivery of FM services in these historic buildings. Given the listed status of the Examination Schools and Sheldonian Theatre, Paul works closely with the Estates Services Conservation team to gain consent for works. He is a member of the British Institute of Facilities Management.

Toby works with new customers, ensuring the transition to FM services is as seamless as possible. When a new potential customer approaches us, Toby and his team meet them to understand how they work and what they need. They carry out an ‘FM health check’, reviewing how things are currently done in the building, including health and safety issues and building compliance. Toby then produces a report for the customer highlighting good practice and any potential risks. He works with the customer to agree any areas that need addressing before the business-as-usual FM service starts. He then sets up documentation, agreements and the general terms of service in line with our current way of doing things, enabling other FM team members to move in and begin providing the day-to-day service with a minimum of disruption.

Bruce is responsible for delivering FM services at six customer sites. These are IT Services, Dartington House, Little Clarendon St, Temporary Staffing Service Office, Little Clarendon  & 92 Woodstock Road. His site team provides an extensive range of services including waste collections, cleaning and compliance. He is also seconded to the Tinbergen decant project as well as managing projects on behalf of the Sheldonian Theatre including the Pipe Organ Replacement and the Upper Gallery Seating projects.

Bob is an experienced University Print Studio Manager who has worked for the University for over 30 years in this field. Managing a team of seven staff, the print studio printedover 3 million copies in 2017. Bob is certified in IOSH managing safely and is a member of the British Printing Industries Federation.

Stephanie joined the University in September 2015 as the Facilities and Service Manager for the Blavatnik School of Government. The new Blavatnik building is a world-class educational facility which has been designed to promote open discussion, interaction and collaboration. The entire construction of the building has been designed to meet the highest standards of environmental sustainability. Stephanie is responsible for providing FM services for this new building. Before joining the University she was responsible for property and facilities management for commercial business parks in the South East region for ten years.

John manages the University Mail Service, Reception Service and FM Technical Support. John has worked for the University for 5 years and during that time has gained experience across several service areas of FM. John is a PRINCE2 practitioner and is certified in IOSH managing safely. John’s role focuses on the development and expansion of his service areas, as well as overseeing day to day operations.

David has worked for the University for over 20 years, he manages the FM Helpdesk and the University Card & Records Office. David takes the lead on several of our systems such as Planon, Salto and MagicInfo (display screens); he provides advice and guidance to departments and has helped to develop a best practice framework for Salto. David is involved in the IDM project (identity management) through his work with the Card Office and he is a PRINCE2 practitioner.
