How to apply

  1. Print off and complete the relevant application form (please contact either Oxford Bus Company or Stagecoach in Oxford if you need any help to choose the correct pass):
  2. Return the completed form no later than ten working days before your specified start date for the pass to:

Facilities Helpdesk,
Room 118,
University Administration and Services,
Wellington Square OX1 2JD

Note: Please read Oxford Bus Company or Stagecoach Terms & Conditions, particularly regarding bus pass refunds.

Refunds

If you cease travelling and no longer need your bus pass, send it to the Facilities Helpdesk, Room 118, University Administration and Services, Wellington Square OX1 2JD with a covering letter stating your name, department and payroll number and requesting that the pass is cancelled. Any refund will be calculated from the date it was received by the bus operator and will be the difference between the price you paid and the cost of journeys made up to that date less an administrative charge (£10 for Stagecoach, £5 for Oxford Bus Company). Refunds are calculated by the bus operator and are NOT made pro-rata. Due to the extra discount on annual bus passes, they usually have no refund value after 9 months use. Any refund will be paid by the bus operator to the University and then credited to staff via the payroll system. Note also that, the refund value for permits will probably be less than the outstanding balance on the loan resulting in a final deduction being debited to staff via the payroll system.

Note: For full refunds details please read the relevant bus operators Terms and Conditions.

Renewing your pass

Staff are responsible for renewing their passes. To renew your pass simply follow the instructions in the 'How to apply' section above.
