Train Pass Scheme

What are the benefits?

  • An interest free loan with repayment by monthly deductions from salary over the period of the pass
  • A 5% discount off the standard price of most annual rail season tickets to Oxford (8% discount for Didcot and Reading stations to Oxford)
  • Discounts Off-Peak - save a third off the price on most Standard Class fares at weekends, Bank Holidays, or after 10.00 on weekdays (terms and conditions apply)
  • First Class Upgrades - upgrade to First Class for just £5 on certain journeys (terms and conditions apply)

Who can apply?

The scheme is available to all members of staff paid through the main payroll.

What passes are available?

Unfortunately, due to an unplanned temporary extension of the rail franchise agreement between First Great Western and the Department for Transport we are not currently able to offer a discount for annual rail season tickets to Oxford. Negotiations are ongoing.

Staff renewing an existing annual rail ticket may still be eligible to receive a charter discount. Please enquire at Oxford Station for amended prices BEFORE submitting your application form to your Administrator.

How to apply

1. Print off a copy of the University Season Ticket Loan Scheme Application Form.

2. Complete the top part of the form and pass to your Departmental Administrator for completion. The Departmental Administrator will request that the cheque is made payable to First Great Western for the correct amount (please check table above and send it to the Payroll Department).

3. Payroll will raise a cheque and return it to you. When you have received your University cheque visit Oxford train station to purchase your ticket.

4. Remember to take the following with you:

  • your University cheque
  • your rail photocard (or passport sized photo if you do not already have one)
  • your existing pass. This is only required if you are renewing an existing pass and are entitled to a charter discount, which will be reflected in the amount of your University cheque, if you obtained an amended price, or given as a refund.

Refunds

If you cease travelling and no longer need your Season Ticket, hand it in at the office where it was issued. You will need to complete and sign a refund application form. Any refund will be calculated from the date it was handed in and will be the difference between the price you paid and the cost of journeys made up to that date less an administrative charge of £10. Refunds are NOT made pro-rata. Note that there must be at least 7 days remaining on your Season Ticket for any refund to be considered. Note also that, due to the extra discount on annual Season Tickets, they have no refund value after 10 months use. Any refund will be paid by the train operator to the University and then credited to staff via the payroll system.
