Contents Claims

Use the following procedure to make an insurance claim for contents loss or damage.

1. Notify relevant parties

The Insurance Team should be notified of any incident/loss immediately.

Depending on the nature of the incident the following people should also be advised.

  • Departmental Administrator
  • Security Services
  • University Safety Office
  • Police – it is imperative that you report any theft or crime to the police at once and obtain a crime reference number. This is a policy condition.

2. Emergency repairs

Make the equipment safe and undertake any emergency work (for example electrical testing) as soon as possible.

3. Complete claim form

Print out and complete the Building and Contents Claim Form (66kb) and return it to the Insurance Team together with any supporting documents (Crime Reports, photographs, CCTV footage etc.).

Claim forms must be completed and returned to the Insurance Team within 28 days of the incident for the claim to be considered. You do not need to wait for receipt of repair/replacement quotes to do this.

4. Repair/replacement quotes

Obtain repair or replacement quotes from suitably qualified agents (for example the manufacturer or supplier of the equipment) as follows:

  • Estimated costs up to £1,000: 1 quote
  • Estimated costs £1,000 - £10,000: 2 quotes
  • Estimated costs £10,000 - £20,000: 3 quotes

For claims of more than £20,000 a Loss Adjuster (Independent Claims Inspector) may be appointed.

Copies of quotes for the repairs/replacements should be forwarded to the Insurance Team when received. The Insurance Team and Loss Adjuster (if appointed) must approve these before work/replacement can proceed.

Throughout the required repair/replacements the department should liaise with the Insurance Team and Loss Adjuster (if appointed) as necessary.

5. Settlement of claim

Departments must pay the relevant invoices which should then be forwarded to the Insurance Team. It is important that the specific departmental coding details are provided, to enable the Insurance Team to journal the reimbursement to the correct account code.

Reimbursement will be made net of the standard £2,000 excess.
