1. Process transaction
Customer present
The customer's card must be swiped through the reader of the card terminal and the PIN input by the customer as authorisation.
Customer not present
Ideally the sale should be processed directly on the card terminal as
'customer not present'. However, if immediate access is not possible, a Credit Card Authorisation Form
(42kb) should be completed capturing the required
details of the customer's card. The completed form should be stored
securely until the details can be processed on the card terminal. This
should be done as soon as possible.
Once the transaction is processed, it is then important to remove and destroy the card security details and expiry date from the authorisation form before filing it in a lockable drawer or cabinet.
2. Issue Receipt
Providing the transaction is processed successfully, a receipt should be issued to the customer or sent to them if they are not present.
3. Failed transactions
Where a card transaction fails, an alternative payment method should be agreed.
4. Batch transaction slips
Transaction slips should be batched for reconciliation as part of the end-of day process.
