This section gives information on additional aspects of Office, mainly Word, which have been customised in the UAS rollout of Office 2007.- Letterheads, memos, fax sheets and compliments slips

Letterheads, memos, fax sheets and compliments slips
These documents, with the relevant personal details, are generated automatically from a button on the Oxford Toolbar, ‘Oxford: Letter Layouts’, or by the keyboard shortcut ‘Alt+L’. If the letterhead assigned is not the correct one, contact the helpdesk to request a change. The templates used for these documents are based on the University’s branding guidelines (restricted access).
In these and many other templates the text, #C, is inserted to mark places which need to be infilled. To move to the next infill, simply press F2.
- Memos – used to send internally within UAS
- Circular letters – used to send non-personalised letters internally within the University but external to UAS
- Fax cover sheets
- Alternative layouts – used on behalf of other people
- Compliment slips - one or three to a page
Autotext
In addition to any personal autotext which may be saved, always available is the global autotext. It contains many words and phrases in common usage in various sections of UAS as well as a full list of Examination descriptions.

Autotext in a header/footer in the legacy Word 2000 setup
The autotext which was available in the header/footer in the legacy Word 2000 setup was made available to the 2007 setup. It can be used as regular autotext in a header or in the main document. The following table gives details. To use: type the abbreviation, then press F3.

Dictionaries
Personal Dictionary
When a user adds a spelling to the dictionary in Word, it is stored in their personal dictionary, Custom.dic. This dictionary is saved on the network and, as a result, is available from any networked pc.
Oxford Dictionary
In addition to the personal dictionary in Word, there is a second dictionary in use, Oxford.dic. This is a global dictionary, available to everyone, and contains spellings peculiar to the University.
The Oxford Toolbar

In Word, under the ‘Add-ins’ tab, is the Oxford Toolbar. Many of these buttons were in use in the legacy Word 2000 Oxford toolbars and menu. A list of the uses of these buttons can be found in the downloadable Customisation Details document. Just hovering the mouse over the buttons themselves gives a brief explanation along with the relevant keyboard shortcut.
House Style template
For those who wish to use a template which utilises the house style as it was in the year 2009, e.g. heading styles, multi-level auto-numbering style, etc, under Office button, ‘New’, ‘My templates’, select ‘Oxford House Style’. Oxford house style heading set
To use the house style heading set - as it was in the year 2009 - with any document, change the style set to the ‘Oxford House Style Heading Set’ (click on the ‘Change Styles’ button, click ‘Style Set’ and select ‘Oxford House Style Heading set’).
Templates available to all
There are many other templates set up under Office button, New, ‘My templates’. These are for use for documents such as Committee agendas and Minutes, PRAC papers etc.Templates for use by Sections
Also located under ‘My templates’ are templates belonging to UAS groups. These are found under the tabs or, for some people, under the ‘More’ tab. Tabs are visible when going to Office button, New, My Templates.
Saving templates for Sections
When making a new template for a group, they should be saved in the \section sub folder\Group\ under the Template folder. Follow the Places Bar shortcut to 'Template' (note: 'Trusted Templates' will not take you to the correct place for saving templates). Generally, templates cannot be saved in \section sub folder\ under 'Templates' as these are protected from general editing but can still be seen and used by all members of a section. \section sub folder\ templates are maintained by BSP – contact the Helpdesk for requests to change, delete or add templates in these areas.
Watermarks in House Style
Note that the house style is as it stood in 2009.
These can be accessed from the Word 2007 Watermarks gallery (Page Layout tab, Watermark), under the category, ‘Oxford House Style’.
More on Customisations
Some of the customisations in the Word 2000 setup were personal. These included the personal dictionary, any personal templates, personal toolbars and menus, personal macros and personal autotext.
