Summary description

This report allows you to identify staff approaching retirement, based on date of birth and EJRA rules.

Why run this report?

  • To identify individuals to contact with regards retirement planning.
  • Data should be used as a starting point to decide who to send retirement planning letters to. More information and letter templates can be found on the personnel services website; http://www.admin.ox.ac.uk/personnel/end/retirement/.

When should you run this report?

It is recommended that this report is run regularly as required.

Hints & tips

  • Results: The report is divided into different tabs to assist with identification of the correct letter templates to be run.
  • Missing Data: The report includes and highlights (in red) records where retirement date is unknown due to missing date of birth. To ensure data integrity the data of birth should be added to the record (update on Personal Profile screen).

Employee Status

The default is 'PERMANENT', 'OPEN ENDED EXTERNALLY FUNDED', 'FIXED TERM', 'WORKER' and 'SELF FINANCING. Use the torch to select specific status(es) or remove the default list to bring back all records  (this will include non-employees).

Personnel Number

Enter specific personnel number or leave blank for 'all' records.

Surname

Enter specific surname or leave blank for 'all' records.

Tab 1

Academic & academic related staff

Includes all Academic and Academic Related staff who are 65.

Report includes a calculated retirement date based on date of birth and EJRA date rules. If a specific retirement date exists in Core (either migrated from OpenDoor or maintained since) then that overrides the calculated date. The workbook also contains a calculated field to identify the staff member as either Academic or Academic Related.

There are 4 different letter templates to be used when communicating with staff approaching retirement. The information in this worksheet should be sufficient to enable you to identify the correct template to use for each person.

Note: This will include academic and academic related staff i.e. where their Category includes teaching/research, but not anyone with grade 01S-05S.

Tab 2

Academic & academic related staff retiring before 1 October 2013

As above but calculated retirement date or individual retirement date falls before 1st October 2013 (or is unknown due to missing date of birth).

The letter templates to be used when communicating with staff approaching retirement are slightly different if that date falls before October 2013. The information in this worksheet should be sufficient to enable you to identify the correct template to use for each person.

Tab 3

Support Staff aged 55, 60 or 65

Includes all Support Staff employees who are 55, 60 or 65 at the time of running the report. Note: This will include staff on grade 01S-05S but excludes them where their Category includes teaching/research.
