Manage applications and shortlisting

Priority and normal application closing dates

The following stages apply at both closing dates.  At the priority application date only applications from priority candidates should be processed.

Review & import applications

For full guidance on managing online applications refer to REC03 Manage Online Applications (542kb) (section 1). Note: Applicants applying online requiring support should be directed to How to Apply or advised to contact recruitment.support@admin.ox.ac.uk.

Priority applicants: At the priority applicant closing date, review all applicants to check for candidates with priority status (identifiable by the priority candidate letter attached to their application, and/or by checking the relevant question in the 'additional questions' field of the application).  Submit any priority applicants into the Back Office and generate a shortlisting pack (following guidance below).  This should be sent to the interview panel along with advice regarding reviewing priority applications. If a priority applicant is appointed write to all other applicants after the post is filled to advise them that the vacancy has been filled by a redeployee, using the standard letter.

All applicants: It is important to review all applications to ensure any applicants who have previously worked at the University have the right to return. Remember to update the vacancy events screen in CoreHR to show 'Right to Return' has been checked.

Manual applications

In exceptional circumstances manual applications are acceptable. Refer to alternatives to applying online for full guidance, including how to manage equal opportunities monitoring, and access to the various document templates that should be used.

On receipt of the completed application form the details should be entered into CoreHR as per the REC02 Manage Paper Applications (124kb).

Generate shortlisting documents

Shortlisting application packs and the shortlisting form for the selection panel to record their notes should be generated via CoreHR as per REC03 Manage Online Applications (542kb) (section 2).

Carry out shortlisting

The shortlisting exercise should be carried out following shortlisting guidelines.
