Advertising job vacancies on the University website
All vacancies should normally be advertised on the University’s jobs web pages (see “Does the post need to be advertised” for details of when exceptions can be made). Departments are now able to publish a job advert, other than academic posts, directly from the text that is entered into the CoreHR system:

(605kb) (for departments live with recruitment and personnel). - Check the vacancy in accordance with the updated Checklist for recruitment administrators
(37kb) . - Once you are happy that all the required fields have been completed, email adverts@admin.ox.ac.uk to request authorisation of the vacancy.
Please remember:
- The subject of the email should contain the Job Title, Vacancy ID and the word ‘Core’.
- The main body of the email should include the protocol number; source of funds; LNS number (where applicable) and Vacancy Type.
The Adverts Team will notify you when the vacancy has been authorised.
Advertisements will be authorised within three working days of receipt. Note: They will be live on the University website from the date you set for posting externally.
Adverts for academic posts should continue to be sent to the Adverts Team in the existing way for posting onto the vacancies website. These will be uploaded within five working days of receipt.
Personnel Services reserves the right to edit copy submitted, normally in consultation with the department concerned, in order to conform to the requirements of the relevant legislation and the University's employment policies.
If you feel a work permit may be required in order to comply with current UKBA requirements, you will need to check the website on the date you set for posting externally, and print a copy of the advert as you do currently for any JobCentrePlus advertisements.
Advertising job vacancies on www.jobs.ac.uk
Advertisements for academic, academic-related and senior university support posts (grades 4 and above) which are submitted for publication on the University's jobs web pages are also placed on the Jobs.ac.uk website: http://www.jobs.ac.uk/ by the adverts team. This site is operated by Jobs in the Academic Community as a joint venture between the University of Warwick and the Universities Advertising Group (UAG), of which Oxford is a member, and aims to provide single site, low cost internet advertising of posts in higher education institutions, particularly those which are advertised in journals and national newspapers It provides an easy and convenient place for staff, students and prospective employees of UK higher education institutions to access information about staff vacancies, providing a cost effective advertising medium as compared with newspapers and journals.
As of 1 January 2012 Jobs.ac.uk will make a £25 amendment charge for each basic advert amendment request, this will be applied if the request to amend is sent to Jobs.ac.uk, 24 working hours after the advert has gone live on their site. All amendments to adverts will continue to be free if they are requested within 24 hours of the advert going live. The charge will only apply to requests received after the 24 hours, 1 working day.
Advertising in other media using TMP Advertising Agency
Where the University website, plus Jobs.ac.uk is not considered sufficient, then the advertisement must be placed through the approved advertising agency, TMP (formerly Tribal). Through its membership of the Universities' Advertising Group (UAG) the University is eligible for significant discounts on advertisements placed via TMP in a number of leading publications used for educational recruitment.
TMP have an on-line advert ordering system, located at http://www.tribalclientcentre.com/.
The system is simple to use and is assisted by a step-by-step user guide. Any queries about the system should be directed to TMP who have a dedicated account team for the University. Other features of the system include an archive function, which is useful for repeat advertisements, printing off copies of past adverts as well as checking costs and media of previous posts. There is a media guide listing all the media used on a regular basis including information on publication name, publication date, media rates and when the rate increase is due. If the media you use is not listed, please inform TMP who will add it to the guide.
The deadlines for sending copy to TMP for the next edition of the required publication are also listed on the TMP website. Advertisement styles specific to the University are available and departmental management information on all advert activity will be uploaded on to the site on a monthly basis.
Adverts can also be sent by email for placement by TMP. If you would like TMP to write your advert copy, then you will need to fill in a template. You are advised to confirm any additional costs for this service with TMP on a case by case basis.
Where response analysis forms are completed and sent to TMP, management information will be produced reflecting the feedback from each media used showing which was more effective in targeting the required audience. This may help inform future decision making on which media to use for specific posts.
Departments and colleges will be invoiced on a monthly basis via email or through the post, dependent on individual preference.
TMP have also produced an advertising manual providing details of all the other services they offer.
