Using Core e-Recruitment

Course details 
Overview

Covers all processes and system steps to be followed when recruiting University employees. 

Duration Two half day training sessions

  • Working with occasional paper applications
  • Uploading and managing online applications

  • Arranging interviews and applicant communications
  • Recording that an offer has been made and accepted by an applicant

Creating and Approving Staff Requests

Course details  
Overview An online module for anyone who will create and/or approve staff requests
Duration 30 – 40 minutes overall including quiz
Course Content
  • Create a staff request (new post)
  • Create a staff request (existing post)
  • Approve and reject staff requests
  • Copy staff requests
How to access

The module is accessed via on online tool called WebLearn, using your University Single-Sign On.

  1. Go to Weblearn Online Staff Request Training
  2. Login using your Oxford Single-Sign On

Please note: access to this site in WebLearn will only be made available following submission of your approved user access form.

Where to find the Staff Request materials

  1. Go to Resources > Staff Requests Online Module > HRIS Staff Requests Online Module v1.swf
  2. Go to Tests >Select Ready to begin > Agree to the Declaration of Authorship > click Begin

Please note: access will only be granted after completing all 6 questions correctly.

Using CorePersonnel: New Starters, Leavers and Changes

Course details 
Overview Will equip participants with the knowledge and skills to enable them to navigate and complete their day to day tasks involving new starters, managing changes during employment and processing leavers using CoreHR.
Duration Two full day training sessions

  • Prepare for the arrival of a new starter and commence them on CoreHR
  • Appoint standard & non-standard new starters

Using HRIS: Running Reports with Discoverer

Course details
Overview

In this hands-on workshop, delegates run e-Recruitment and Personnel reports on their own department(s), drawing on the knowledge and experience of the trainers to increase their confidence in using the Discoverer reporting tool.

Please note: You must already have access to CoreHR before attending.

HRIS Personnel and Reporting training surgeries

Course details 
Overview

Are you a trained user of the Personnel or Reporting module? Do you need to brush up on some skills in the HRIS system?

Then book on to a session at one of our monthly surgeries. Sessions last around an hour and will be conducted on a 1:1 basis by our HRIS Trainer. You will be asked to specify in advance what topics you would like to cover and the session will be tailored accordingly.

Duration 1 hour

Online Data Protection and Individual User Agreement

Course details  
Overview

Provides users of HRIS with an understanding of the key principles of the Data Protection Act 1998 and the University's approach to managing HR data.

Please Note: All CoreHR users must complete this mandatory online course.

Duration  10-15 minutes online course
Course content Data Protection consists of two online components accessed via WebLearn:
  • Read through materials: 'Understanding Data Protection'.
  • Take a short online test: 'Understanding Data Protection - Assessment.'
Before you logout of WebLearn, you are asked to:
  • Read and agree to the rules for use of HRIS as set out in the: Individual User Agreement (IUA), and check a box to confirm this.
How to access How to access WebLearn, the course materials and IUA
WebLearn allows members of the University to create and store materials to support their teaching and learning activities. The system enables users to access materials using their University Single-Sign On.

  2. Login using your Oxford Single-Sign On
  3. Click on Sites - top right of screen
  4. Click the link HRIS - Data Protection
