Annual leave for fixed hours employees
The annual leave entitlement of all staff is specified in their contract of employment, but for the majority of staff the leave year runs from 1 October to 30 September and the entitlement is 38 days a year, comprised of:
- 24 days personal leave
- 6 closure days (to be taken at pre-determined dates as advised by the University)
- 8 bank holidays
Additional annual leave is awarded for long service.
For part-time employees, holiday entitlement is calculated on a pro rata basis and expressed in hours rather than days.
Requests for annual leave must be authorised by your manager in advance, and recorded on an annual leave card (template and guidance available to the right of this page).

For variable hours employees holiday entitlement is calculated on a pro rata basis based on the hours they have actually worked. Further information on this, including a calulator for working out the entitlement, can be found on the Personnel Services website. It should be processed alongside the monthly hours on the .
Annual leave for casual workers
For casual workers, statutory holiday entitlement is calculated on a pro rata basis based on the hours they have actually worked. It should be processed alongside the weekly hours on the ).
Leave for other reasons
The University does not attempt to prescribe centrally the amount of additional leave that might be appropriate in each individual case; departments have discretion to authorise such leave according to the circumstances of the individuals concerned. Guidance has been developed to describe some of the circumstances where this may apply.
Specific guidance for time off for dependants is also available.
Flexible working
Employees who have caring responsibilities are eligible to request a different pattern of working hours to help them fulfil their caring role, providing they meet the qualifying criteria. Departments have a legal duty to consider such requests seriously. Such a requests should be made on the Flexible working application form

The UAS Personnel Team have prepared a Maternity leave plan
(127kb) to assist you in providing the relevant information to your managers. Once discussed with them please sent the plan to the Personnel Administrator so that it can be processed with payroll.
