Leave and holiday within UAS

Annual leave for full-time and part-time employees

The annual leave entitlement of all staff is specified in their contract of employment, but for the majority of staff the leave year runs from 1 October to 30 September and the entitlement is 38 days a year, comprised of:

  • 24 days personal leave
  • 6 closure days (to be taken at pre-determined dates as advised by the University)
  • 8 bank holidays

Additional annual leave is awarded for long service.

Part-time staff
Your annual leave entitlement will be calculated on a pro-rata basis and expressed in hours, and will be communicated as a total figure including your pro-rata entitlement to public holidays, fixed closure days, long service leave and any leave carried over from the previous leave year. At the beginning of each leave year you should subtract from this total any public holidays or fixed closure days that fall during your working pattern, for instance – if you usually work only on Mondays, subtract from your total all the public holidays and fixed closure days that fall on a Monday during the comin g leave year. The remaining total is your personal leave entitlement and should be entered in the ‘Total personal leave’ box of your Annual Leave Application and Record Form. If your working pattern is subject to regular changes, you may need to deduct the public holidays and fixed closure days as they occur.

Requests for annual leave must be authorised by your manager in advance, and recorded on an annual leave card (template and guidance available to the right of this page).

New staff will be provided with an annual leave calculation during their induction with the Personnel Administrator.

Annual leave for variable hours employees

For variable hours employees holiday entitlement is calculated on a pro rata basis based on the hours they have actually worked. Further information on this, including a calculator for working out the entitlement, can be found on the Personnel Services website. It should be processed alongside the monthly hours on the Variable Hours Claim Form.

Annual leave for casual workers

For casual workers, statutory holiday entitlement is calculated on a pro rata basis based on the hours they have actually worked. It should be processed alongside the weekly hours on the Casual Payments Form.

Leave for other reasons

The University does not attempt to prescribe centrally the amount of additional leave that might be appropriate in each individual case; departments have discretion to authorise such leave according to the circumstances of the individuals concerned. Guidance has been developed to describe some of the circumstances where this may apply.

The UAS Personnel Team have prepared a Maternity leave plan to assist you in providing the relevant information to your managers. Once discussed with them please send the plan to the UAS (Personnel) Payroll Team so that it can be processed with payroll.
