Preparing your application
For each of its schemes for research awards, the Academy issues guidelines on the information to be supplied by applicants in support of bids for funds, details of the criteria against which the application will be assessed, and the process and timescale for assessment of the application. Notes for applicants are available from the Academy website for each open research award.
If you are thinking of putting together a grant application, please get in touch with your Departmental Administrator, Research Officer or Research Facilitator as soon as possible (and at the very latest four weeks before the deadline), so that they can provide advice and assistance with the preparation of your proposal. The sooner you get in touch, the more they will be able to help.

Using the e-GAP2 system
All applications to the British Academy must be prepared and submitted via the online e-GAP2 system.
You will need to create a user account in order to create and submit an application.
Details of the schemes, the frequency of the calls, and the expected deadlines can be found at http://www.britac.ac.uk/funding/index.cfm.

Costing and Budgeting
Your Departmental Administrator, Research Officer or Research Facilitator will assist you to identify the costs of your project and also prepare a Resolve costing. Please contact them as soon as you are thinking about applying and at the very latest four weeks before the deadline. The Resolve costing will provide the financial information that you must include in the e-GAP2 forms and, since this is the form that indicates Departmental approval of the costs of a project, it has to be provided to Research Services before the application can be approved and submitted by the University to the funder.
The British Academy have a mixture of schemes, some that are awarded at 80% of FEC and some that meet only the Directly Incurred costs of a project. The guidelines must be read in each case. Please see the Preparing your Budget web page for further information on FEC.

I'm ready to submit my applications - what should I do now?
Firstly check that your application is complete and includes all the information and attachments required by the British Academy (this includes letters of support, CVs, lists of publications etc).
On e-GAP2 it is important that the correct email address is entered for the referees and Heads of Departments's, as upon the application being approved by Oxford, emails are sent automatically from e-Gap to these individuals at the email addresses supplied on the application form with login details, and instructions for viewing the application and supplying the reference through e-Gap.
It is important to note that these emails only go out once Research Services has approved the application, and that no application will be considered by the British Academy without the required number of references and Head of Department statements, and these must be received by the closing date for applications. Therefore it is important that Heads of Departments's and referees are pre-warned about any pending application..

The application has been submitted - what next?
Proposals are assessed by subject specialists in the light of references and any external evaluations. Assessors' comments and recommendations are forwarded to a final award committee, which considers the applications and decides on awards to be made in the light of the quality of the competition and the budget available. There may be an interim stage where applications are reviewed by a selection panel.

Do let your Departmental Administrator know the outcome of your application. Where it is to be funded they will liaise with you and Research Services regarding the acceptance of the award.

Managing your award

All claims, invoices and financial statements to funders must go out from Research Accounts, never directly from Departments.
British Academy's requirements for starting awards as well as academic and financial reports are covered in more detail in the Conditions of Award.
Publications arising from research funded by the British Academy should include an acknowledgement of the British Academy support as set out in the Conditions of Award.

Advice on preparing Resolve costings for British Academy applications
The 'Apply Inflation' tick boxes on the Financial Models page in Resolve should be ticked, as the British Academy will pay for inflation for personnel and non-staff items.
The majority of funding opportunities within the British Academy only cover Directly Incurred costs. For these schemes the Directly Allocated costs and Indirect costs will not be met, and these ineligible costs must be removed from the price by un-ticking the 'Apply?' boxes on the Price Template tab of the Summary page on Resolve.
A notable exception to the above guideline is the Postdoctoral Fellowship scheme, wherein the British Academy contributes to the Directly Incurred, Directly Allocated, and Indirect costs of the applicant.
