Cancer Research UK's electronic Grants Management System (eGMS)
Overview of eGMS
eGMS is Cancer Research UK's electronic Grants Management System for the creation and submission of electronic grant applications, post-award management and peer review. Grant applications are routed electronically from the PI to Research Services for checking, authorisation and online submission to Cancer Research UK.
All applications for funding schemes with a deadline of 2011 onwards must be submitted via eGMS. Paper applications will no longer be accepted.
Please note that to use eGMS you will require either Internet Explorer version 6 and above, Mozilla Firefox version 2 and above or Safari version 3.1 and above. eGMS is not fully compatible with other browsers such as Netscape or Opera. Step 1 - create a user account
Anyone who will need to create, edit or submit an application will need a user account on eGMS.
Those who have used CRUK's previous online application system, AMS, can use the same login ID and password to access eGMS. If you have forgotten your password, please use the 'forgotten password' function on the eGMS home page.
To create an account on eGMS go to the login page and click the New User? Register Here link on the right hand side of the page and follow the steps.
Step 2 - create a new application and get departmental approval
The Principal Investigator should log-on to eGMS to create a new application. The PI needs to click on the link 'Apply For Funding', select the relevant scheme and click continue. For the majority of funding schemes the PI will need to complete an Eligibility Assessment Exercise before gaining access to the application forms. If the PI is eligible, the application form will be available under the 'My Tasks' tab on the PI's home page. The PI must then complete all mandatory sections of the form and ensure that all sections have been completed correctly by reviewing the application under the 'review and submit' tab. Only PDF files should be uploaded with a maximum size of 5MB per file.
To enable Departmental approval of applications, PIs should add their Departmental Administrator as the 'applicant secretary/PA' supporting role. The Administrator will then able to log in to eGMS to access and edit the application e.g. to enter AMRC costings. Departmental Administrators will need to have created a user account on eGMS before they can be added to a supporting role.
To return to an application that was created in an earlier session, the PI needs to log in to eGMS and click on the 'My Tasks' tab.
Step 3 - submit the application to Research Services
Once the PI is satisfied that the application is correct and complete, and it has been approved by the Department, it should be submitted to Research Services FIVE WORKING DAYS in advance of the deadline.
Please note that preliminary or outline applications are not routed via Research Services on eGMS and go straight to CRUK. For these applications where Research Services still need to review them (if there are costs outlined), a pdf of the application will need to be provided to Research Services before submission whereupon they will then advise the PI when the application can be submitted on eGMS to CRUK.
Step 4 - submit the X5 costing to Research Services
The PI should also ensure that their Departmental Administrator submits the X5 costing FIVE WORKING DAYS in advance of the deadline to Research Services.
Step 5 - Research Services checks the application
Once the X5 costing is with Research Services, they will check the application within five working days and will notify the PI/Department of any amendments that are needed or recommended.
Step 6 - PI makes any neccessary amendments to the application
The PI/Department must make any amendments and notify Research Services when this has been done.
Step 7 - application is re-checked and submitted by Research Services
Research Services will re-check the amended application and arrange for an authorised signatory to submit the final application to Cancer Research UK.
PLEASE NOTE THAT RESEARCH SERVICES CANNOT SUBMIT APPLICATIONS AFTER 5PM REGARDLESS OF THE DEADLINE SET BY THE SPONSOR.
