Leverhulme Trust's Electronic Application System
The Leverhulme Trust's electronic application system is a web-based system which allows applicants to create and edit grant proposals for most schemes using a series of web forms. The grant applications are then routed electronically to Research Services for checking, authorisation and online submission to the Leverhulme Trust. Some schemes require departmental approval on the system and in these instances the application will also be routed electronically to the department for approval.
Step by step guide
Please note that different processes apply to different schemes. The below guidelines are meant as general guidance only, but please do use Leverhulme's Navigation Notes and contact their Help team from within their electronic application system if your query is not answered.

Step 1 - create a user account
Anyone who wishes to submit an application using the Leverhulme Trust's electronic application system will need to register. To do this go to https://grants.leverhulme.ac.uk/ and click on the 'Register' button. Registration is instant once the personal and security details have been completed and saved. When you register, you will have the chance to fill in a 'Basic Information' form, which includes your institutional affiliation. It is important to ensure that you complete this field with your departmental (not college) affiliation. This information will be used to route your application through to the proper approvers, so it is vital that the information is correct.Step 2 - create a new application
The Principal Investigator should log-on to the Leverhulme Trust's electronic application system via https://grants.leverhulme.ac.uk/ to create a new application. The PI needs to click on the link 'Open Grant Schemes' and then click the button 'Apply' next to the relevant scheme to open the application web forms. The PI must then complete all details as required for the scheme (mandatory fields are denoted by a red dot) and upload any documents required.Step 3 - return to a saved application
To return to an application that was created in an earlier session, the PI needs to log on to the Leverhulme Trust's electronic application system and click on the 'Edit Application' button under the relevant scheme on the Home page.
The Leverhulme Trust's electronic application system will automatically log a person out if they have not saved or moved on to another page within 30 minutes. The unsaved information will be lost and the person will need to log back into the system.
Step 4 - enter Head of Department and Referees details
Depending on the scheme, the Leverhulme Trust may require applicants to enter details for referees and head of department. The 'Referees' section of the application form requires the PI to provide details of referees who meet the scheme criteria. Please note that referees must be available the month after the scheme deadline. The ‘Head of Department’ section requires the PI to enter details about their head of department. The Trust will match this information to contact records held in their system and, if there is a match, you will be prompted to confirm that your entry refers to the existing contact. If there is not a match, you will be prompted to enter further information including an email address for your Head of Department.
When you submit your application an email will be sent to your nominated Head of Department, which will include instructions on what he or she must do with the application. Once they have completed the necessary steps and approved the form it will come to Research Services for final checking.
Important: It is essential that accurate email addresses are entered for the 'Head of Department' and Referees, as these email addresses will be used by the system to notify these people and provide them with access to the application. Incorrect email addresses could cause delays in the processing and consideration of your application.
Step 5 - submit the application for approval
Before approving the application, the PI must ensure that all Co-applicants named on the project have approved their involvement by logging on to their own part of the online application system. Once this has been done and the PI is satisfied that the application is correct and complete, the PI should select the link 'Notify' under the 'Institutional approval' section on the left hand side of the page. If all the mandatory fields have been completed correctly a submission button will appear. This will submit the application for departmental (where appropriate) and institutional approval; it will not submit the application to the Leverhulme Trust.
Email notifications requesting approval of the application will then be sent the departmental approver and Research Services. The application should be submitted five working days in advance of the deadline.
Please note that Research Services will not be able to fully check the application or submit it to the Leverhulme Trust until the department has approved the application.
Step 6 - submit the X5 costing to Research Services
The PI should also ensure that their Departmental Administrator submits the X5 costing FIVE WORKING DAYS in advance of the deadline to Research Services.
Step 7 - Research Services checks the application
Once the X5 costing has been approved by the department, Research Services will check the application within five working days and will notify the PI of any amendments that are needed or recommended. The PI must make any amendments and notify Research Services once this has been done.
Step 8 - application is re-checked and submitted by Research Services
Research Services will re-check the amended application and arrange for an authorised signatory to submit the final application to the Leverhulme Trust.
Please note that Research Services cannot submit applications after 5 pm regardless of the deadline set by the sponsor.
