Email Notifications to Support the Confirmation Process

eVision now includes email notifications to inform contacts at colleges and departments when changes are made at confirmation stage, for example when an applicant is transferred to another college. This change to eVision will support the undergraduate admissions confirmation process.

The notifications, outlined below, will be sent to admissions officers in colleges, and admissions coordinators and their supporting administrators in faculties and departments.

Details have been added to the Undergraduate Admissions manuals and a message was sent to eVision users from the Student Systems Support Centre.

1. Qualified applicant holding a college offer - confirmed with changes:

If a change is made to the course, point of entry or year of entry, an email notification will be sent to UAO and the department. If the course has changed and the department differs, then both the former and new departments will receive notification.

Generated by the college, this email will contain the words 'Confirmation of Unqualified/Qualified Applicants' in the body of the text, which could potentially be used to set an email rule.

2. Unqualified applicant  - confirmed/confirmed with changes:

If an unqualified candidate is confirmed, an email notification will be sent to the department and to UAO to inform them of the change.  If it is a confirmation with changes and the department has also changed, then both the former and new departments will receive notification.

3. Qualified applicant holding an open offer - transferred from Open Offer Pool:

If a qualified applicant holding an open offer is transferred to a new college, the underwriting college and UAO will be notified.

4. Qualified applicant holding an open offer – transfer confirmed by college:

If a qualified open offer holder is confirmed at a college, the department and UAO will be notified.  If the confirmation involves a change in course and the department differs, then both the former and new departments will receive notification.

5. Unqualified applicant - transferred from the Unqualified Pool

If an unqualified candidate is transferred to a new college, the offering college and UAO will be notified.

6. Unqualified applicant – transfer confirmed by college:

If an unqualified candidate is confirmed at a new college, the college that made the original offer, the department and UAO will be notified.  If the confirmation involves a change in course and the department differs, then both the former and new departments will receive notification.

7.  Unqualified applicant – rejected by underwriting college

If an unqualified candidate is rejected by the underwriting college, the department and UAO will receive an email.
